There is no minimum order value. We happily fulfill a single folding chair rental as enthusiastically as a 300-guest wedding tent package. Every customer gets the same professional delivery and service.

Delivery fee covers transportation to and from your venue. Professional setup is available for an additional charge and is required for tents, stage structures, dance floors, and all inflatables. Smaller items like chairs, tables, and linens are dropped off flat-packed for your team to arrange. Full setup pricing is included in every quote.

We schedule deliveries with a 2-hour arrival window, confirmed with you 48 hours before your event. Large tent setups are typically delivered and erected 1–2 days in advance. Our driver will call or text 30 minutes before arrival.

Yes — we regularly deliver to parks, beaches, fairgrounds, parking lots, and any public or private venue. Some parks require a permit for tents or inflatables; we can advise on local requirements when you request your quote.

Please note any access restrictions (narrow gates, stairs, weight limits, underground parking, no elevator) in your quote request. We plan routes ahead of time and bring the right equipment. We want to avoid surprises on delivery day as much as you do.

Call us immediately. We keep standby inventory and will dispatch a replacement as fast as humanly possible. Your event comes first — we take delivery accuracy seriously and will make it right.

A deposit of 25–50% of the total rental value is required to confirm your reservation. The remaining balance is due on or before the day of delivery. We accept all major credit and debit cards, ACH bank transfer, Zelle, and business checks.

14+ days before event: Full deposit refund.
7–14 days before event: 50% deposit refund.
Less than 7 days before event: Deposit is non-refundable.

Weather-related cancellations may have deposits applied to a future booking date at our discretion — just ask.

We offer volume discounts on large orders (typically 10%+ off when the rental total exceeds $2,000) and a standard 10% non-profit discount with valid 501(c)(3) documentation. Contact us to discuss your specific needs.

Weekend deliveries (Saturday/Sunday) are our most common and carry no surcharge. Major holidays (July 4th, Memorial Day, Labor Day, etc.) may have limited availability and a small peak-season fee — this will always be disclosed upfront in your quote.

Yes. Ultimate Party Rentals carries a comprehensive commercial general liability insurance policy covering all rental equipment. Certificates of insurance are available upon request for venue requirements.

All inflatables are commercial-grade units that meet ASTM F2374 safety standards. Before every rental, our team inspects each unit for tears, worn seams, and blower functionality. We provide written safety guidelines with every inflatable rental and require adult supervision at all times.

Standard bounce houses and combo units need a dedicated 20-amp household circuit (standard outlet) within 50 feet. Larger inflatables like obstacle courses may require two separate circuits. If your venue lacks accessible power, we offer generator rentals starting at $150.

Many items — tables, chairs, linens, lighting, AV equipment, dance floors, and photo booths — are fully suitable for indoor use. Inflatables and large tents are outdoor-only. Individual product listings on our rental catalog specify Indoor, Outdoor, or Both.

Normal wear is expected and covered. Accidental damage beyond normal use is charged at the cost to repair or replace the item. We offer an optional Damage Waiver (typically 10% of the rental total) that covers most accidental damage — ask about it when booking.

As a general rule, allow 10–12 sq ft per guest for a seated dinner, or 6–8 sq ft for a cocktail-style event. Common benchmarks: 50 guests → 20×20 ft; 100 guests → 20×40 ft; 150 guests → 30×60 ft; 200+ guests → 40×80 ft. Our team will help you size correctly — just share your guest count and table/dance floor layout.

Frame tents can be installed on any surface — concrete, asphalt, gravel, grass — using weighted ballast blocks instead of stakes. Pole tents require soft ground for staking. Clear span structures work on any surface and require no ground penetration at all.

Permit requirements vary by municipality and tent size (typically triggered at 400–800 sq ft). We will advise you on whether a permit is likely needed for your installation and can provide documentation your local authority may require. Securing the permit itself is the customer's responsibility, though we assist where we can.
